Managing Campaigns
Campaigns let you group leads by marketing initiative — for example a seasonal promotion, a trade show, or an advertising push. This guide covers viewing, creating, editing, and deleting campaigns, and explains how locations and reference codes work.
Note: The Campaigns area requires administrator rights. The Campaigns item only appears in the main navigation when the Leads feature is enabled for your organisation.
The Campaigns List
Open Campaigns from the main navigation to see every campaign in a paged table. From here you can:
- Click Search to reveal the search box and filter the list
- See each campaign's name, reference code, location, status, and creation date
- Click the leads badge on a row to jump to the Leads list filtered to that campaign
- Page through the results when you have many campaigns
- Click Add Campaign to create a new one
If there are no campaigns yet, the page shows an empty state with an Add Campaign button to get you started.
Creating a Campaign
- Click Add Campaign from the campaigns list.
- Enter a Campaign Name (required, up to 200 characters).
- Optionally enter a Reference Code (up to 50 characters). Leave it blank to have one generated automatically — see Reference Codes below.
- Select a Location (required). Only active locations appear in the dropdown.
- Choose a Status. New campaigns default to
New. - Click Create Campaign. You will be returned to the campaigns list with a confirmation message.
Campaign Fields

Reference Codes
Every campaign has a reference code that uniquely identifies it. You can type your own code when creating or editing a campaign, or leave the field blank and SurelyCrm will generate one in the format PREFIX-YEAR-SEQUENCE — for example SUM-2026-00007, where:
- The prefix is the first three letters or digits of the campaign name, in capitals (or
CMPif the name has none) - The year is the current year
- The sequence is a five-digit number that increases until it is unique
Reference codes are shown in code style in the campaigns list so they are easy to scan and copy.
Campaign Statuses
Statuses show where a campaign sits in its lifecycle. The available options are:
New— The default for newly created campaignsInProgress— The campaign is actively runningFinished— The campaign has ended
Each status is shown as a coloured badge in the campaigns list, so you can see at a glance which campaigns are live.
Editing a Campaign
- Find the campaign in the list and click the Edit (pen) button on its row.
- Change any of the fields — name, reference code, location, or status.
- Click Save Changes. If you clear the reference code, a new one is generated automatically from the campaign name.
Deleting a Campaign
Administrators can delete a campaign using the Delete (bin) button on its row. You will be asked to confirm before the campaign is removed. Deletion is permanent, so make sure the campaign is no longer needed.
Campaign Locations
Every campaign must be assigned to a Campaign Location — a grouping such as a region, branch, or channel that campaigns belong to. Locations are an administrative concept with a name, an optional description, and an active flag; only active locations can be selected on the campaign form.
Administrators manage locations under the admin settings (see Settings & Configuration), or via the Add Location button on the campaigns list. If the location dropdown on the campaign form is empty, ask an administrator to create or activate a location first.
Campaigns and Leads
Campaigns exist to organise your leads. The leads badge on each campaign row shows how many leads are linked to it, and clicking the badge opens the Leads list already filtered to that campaign — a quick way to review the leads a marketing initiative has produced.
