Managing Suppliers
Suppliers are the companies you buy from. This guide covers adding and editing supplier records, tracking credit limits, and keeping supplier contact details up to date. Open the area from the Suppliers item in the sidebar.
The Supplier List
The supplier list shows every supplier with their key details at a glance:
- Name — The supplier's company name
- Postcode — Their postcode
- Contact Number — Their phone number, if recorded
- Status — A coloured badge showing the supplier's current status
- Remaining Credit — How much credit is left, shown against the total credit limit
A counter at the top of the page shows how many suppliers are on the current view. If you have many suppliers, the list is split into pages — use the pager at the bottom to move between them.
Searching
Click the magnifying-glass icon in the list header to reveal the search box. Search matches against the supplier's name, contact person, contact number, contact email, address lines, town, city, and postcode.
Adding a Supplier
- Click Add Supplier from the supplier list.
- Enter the Company Name — this is the only required field.
- Optionally add the Contact Person, Contact Number, and Contact Email.
- Fill in the Address section: up to four address lines, plus town, city, and postcode.
- Set the Credit & Status details (see below).
- Click Save Supplier. You are returned to the supplier list.
Editing a Supplier
Click the pencil icon on a supplier's row to open the edit page. It shows the same sections as the add page — Basic Information, Address, and Credit & Status — with the current values filled in. Make your changes and click Save Supplier, or use Back to Suppliers to leave without saving.
Credit Limits
Each supplier has two credit figures, both entered in pounds:
- Credit Limit — The total credit the supplier has extended to you
- Credit Used — How much of that credit you have spent
The list and the edit page show the Remaining Credit (limit minus used) so you can see at a glance how much headroom is left. When a credit limit is set, the edit page also displays a banner with the remaining amount.
Supplier Statuses
A status records where the supplier relationship stands. Choose from:

| Not Applicable | No status applies to this supplier |
| Pending | The relationship is being set up or reviewed |
| Open | The supplier account is active |
| Rejected | The supplier application or relationship was declined |
| Spent | The credit limit has been fully used |
Record Ownership
You can assign a Record Owner to each supplier by picking a team member from the dropdown. This makes it clear who manages the relationship.
Deleting a Supplier
Administrators can delete a supplier using the bin icon on its row. You will be asked to confirm before the record is removed. Deletion is permanent, so make sure the record is no longer needed.
Tip: Keep credit figures and statuses up to date — the supplier list is designed to be scanned quickly, and accurate values make the remaining-credit column genuinely useful when ordering.
